Short answer

ERP Sync is an MCP server that connects AI agents like Claude to QuickBooks Online. The agent can query any QuickBooks entity live, pull the standard reports, and create, update, void or delete transactions — in batches of up to 30 — with every call checked against the user’s per-company permissions.

The problem: AI can’t see your books

A general-purpose AI assistant is good at accounting reasoning and useless at accounting work, because it can’t reach the ledger. You end up exporting reports, pasting rows into a chat, and re-keying whatever the model suggests back into QuickBooks.

The Model Context Protocol (MCP) fixes the plumbing: it lets an agent call tools directly. ERP Sync provides those tools for QuickBooks Online, built by a CPA who closes multi-entity books on them every month.

What the agent can do in QuickBooks Online

  • Query any QuickBooks entity live — for example every invoice over $1,000, every bill for a vendor, or every deposit in a date range. Large result sets page through up to 50,000 records into a server-side dataset instead of flooding the chat.
  • Pull live QuickBooks reports: Profit and Loss, Balance Sheet, General Ledger, Trial Balance, AR and AP aging, and Cash Flow — the tie-out source when a number has to match QuickBooks exactly.
  • Create, update, void or delete journal entries, bills, expenses, deposits, invoices, customers, vendors and accounts, one at a time or in batches of up to 30.
  • Attach files and generated PDF memos to transactions, and copy attachments between QuickBooks companies (see the attachments guide).

How it works

  1. Connect your QuickBooks Online company to ERP Sync with Intuit sign-in.
  2. Add ERP Sync as a connector in Claude (or another MCP-capable client) and sign in with your ERP Sync account.
  3. An owner decides, per user and per feature, whether the agent is off, read-only or read-write — and read-write also has to be granted on the specific company.
  4. Ask for the work in plain language. The agent reads first, proposes, and posts only through the permissioned write tool.

For high-volume changes the agent can stage the whole batch as a review page with control totals and exceptions; a person clicks Approve & Run under their own login, so the agent itself never posts the batch.

What to ask your AI agent

With ERP Sync connected to Claude, ChatGPT, or another MCP-capable agent, requests like these work as written:

Find every bill from Home Depot in Q3 that has no attachment and list them by amount.
Pull the trial balance for the operating company as of 9/30 and compare it to last month.
Create the September prepaid insurance amortization entry: $2,400 from Prepaid Insurance to Insurance Expense.
Void the duplicate deposit from 9/12 for $5,180 after showing me both transactions.

The ERP Sync tools behind it

These are the MCP tools an agent calls. Each one is switched on or off per user, and read-only versus read-write is set per feature.

ToolWhat it does
qbo_queryRuns a live QuickBooks query (read-only); dataset mode pages up to 50,000 records.
qbo_reportFetches a live QuickBooks report (P&L, balance sheet, GL, trial balance, agings, cash flow).
qbo_writeCreates, updates, voids or deletes QuickBooks entities; batches of up to 30.
qbo_uploadAttaches stored files to QuickBooks transactions, singly or up to 30 per batch.
qbo_attach_linkRenders a PDF memo with source-document links and attaches it to a transaction.
qbo_copy_attachmentCopies attachments between QuickBooks companies or into ERP Sync storage.

Limits and requirements

  • QuickBooks Online only; the company must be connected to ERP Sync.
  • Writes require read-write access on that company. Users with no read-write access anywhere don’t see the QuickBooks direct tools at all.
  • Day-to-day financial reading goes through ERP Sync’s synced ledger (faster, and multi-entity); the live report tool is for tie-outs and troubleshooting.

Frequently asked questions

Is ERP Sync an official Intuit product?

No. ERP Sync is built by Silo Solutions Inc. and connects to QuickBooks Online through Intuit’s API with your authorization.

Which AI agents work with it?

Any client that supports remote MCP servers with OAuth sign-in. Claude (web, desktop, and Claude in Excel) is what we use every day.

Can the agent post something I didn’t approve?

Only if you give that user read-write access. Many teams run agents read-only, or have them stage batches for a person to approve and run.
